CASE STUDIES

Problem → automation → result

Every build below started the same way: someone described a repetitive task in a message. Client names are withheld by agreement. The numbers are what each client measured after go-live.

CASE 01 · PROFESSIONAL SERVICES FIRM

Website enquiries reached the sales team a day late

CRM API n8n OpenAI Slack
under 2 min
FIRST REPLY, FROM ~1 DAY
6 hrs/wk
ADMIN TIME REMOVED
PROBLEM

Enquiries arrived in a shared inbox. Someone re-typed each one into the CRM, judged whether it was worth pursuing, then wrote a reply from memory. Anything after 4pm waited until the next morning.

AUTOMATION

Form webhook into an n8n workflow: an AI step reads the enquiry, scores fit against their criteria, creates the CRM record with notes, sends a personalised reply, and posts the summary to the team channel.

RESULT

Every enquiry now gets a reply within two minutes, day or night, and lands in the CRM already qualified. Nothing sits in the inbox overnight.

CASE 09 · GERMAN PROPERTY LAW FIRM

Every rental contract was drafted from scratch by hand

Azure Blob Storage Azure Functions Python React
2-stage review
FACTS INTAKE, THEN LEGAL SIGN-OFF
one template
SAME CLAUSE LIBRARY EVERY TIME
PROBLEM

A property law firm assembled every residential lease by hand: picking the right legal clause variant for rent adjustment, cosmetic repairs, subletting and liability from memory, then retyping the landlord, tenant and property details into a fresh document each time. Under deadline, a missed clause update or an inconsistent variant was an easy and costly mistake to make.

AUTOMATION

A two-stage web intake now splits the work by who actually owns each decision. Clients fill in the property and tenancy facts through a form, which emails a summary straight to the firm, while the reviewing lawyer separately selects the legal clause variants for rent adjustment, repairs, liability and subletting. Both feed a lawyer-approved Word template with conditional clause blocks built on Azure Functions, and the finished, ready-to-sign contract is generated and stored automatically.

RESULT

Every contract now comes from the same reviewed template and the same clause library, so the legal wording stays consistent no matter who is drafting under deadline. The manual retyping and clause-picking work that used to happen for every single lease is gone, and the lawyer's time goes into the legal decisions the software was never meant to make.

CASE 10 · GERMAN LAW FIRM

New clients could only reach the firm in German

Azure Functions Azure SQL GPT-4o Next.js
5 languages
AUTO-DETECTED FROM THE FIRST MESSAGE
one decision
ACCEPT OR REJECT TRIGGERS EVERYTHING ELSE
PROBLEM

A German law firm's website could only take in new-client enquiries in German, so anyone who reached out in another language got a slower, less complete response, if they got one at all. Every enquiry still had to be read, judged for whether it was worth taking on, and replied to by hand before a single consultation ever happened.

AUTOMATION

A multilingual AI chat widget now guides every prospective client through a structured intake conversation in their own language, auto-detected from their first message, supporting German, English, Turkish, Arabic and Russian. It extracts the case details, accepts uploaded documents, and submits everything to a lawyer's review portal, sending the client an immediate confirmation and the lawyer a case notification by email.

RESULT

Every enquiry now gets a real, structured response in the language it was asked in, not just German, before a lawyer has looked at it. The lawyer reviews each case once, in one portal, and accepts or rejects it. That single decision triggers the client's next email automatically, in their language, without anyone drafting it by hand.

CASE 02 · MULTI-LOCATION SERVICE BUSINESS

The phone rang all day with the same five questions

Booking calendar n8n Retell AI
24/7
CALLS ANSWERED
routine calls
HANDLED WITHOUT STAFF
PROBLEM

Front-desk staff spent the day on opening hours, pricing, availability and booking changes. That interrupted the work they were actually hired for. After hours, calls went unanswered.

AUTOMATION

A voice agent trained on their own answers and price list, connected to the booking calendar. It answers, books or reschedules, and hands anything unusual to a human with the context attached.

RESULT

Routine calls no longer reach staff, evening and weekend enquiries get answered, and the team only picks up conversations that need a person.

CASE 03 · E-COMMERCE & LEAD GENERATION

Ad platforms and the CRM never agreed on what a lead was

CRM API GA4 Google Ads Server-side GTM
server-side
CONVERSION TRACKING
one source
OF TRUTH FOR SPEND
PROBLEM

Google Ads, GA4 and the CRM each reported different lead counts. Budget decisions were made on numbers nobody trusted, and blocked browser tracking was quietly dropping conversions.

AUTOMATION

Server-side GTM container with GA4 and ads conversions fired from the server, lead IDs carried through to the CRM, and qualified-stage events sent back to the ad platforms automatically.

RESULT

Reported conversions now reconcile with real CRM outcomes, so spend follows the campaigns that produce customers rather than form fills.

CASE 04 · B2B SOFTWARE RESELLER

Support answered the same product questions in every inbox

Help desk API n8n OpenAI Vector search
first draft
READY BEFORE AGENT OPENS TICKET
same answers
ACROSS EVERY CHANNEL
PROBLEM

Product, licensing and compatibility questions arrived by email, web chat and a help desk. Each agent answered from their own notes, so replies varied and new staff took weeks to get accurate.

AUTOMATION

An assistant grounded in their own documentation and past resolved tickets drafts a reply with source links the moment a ticket lands. Agents edit and send; anything below a confidence threshold is routed untouched to a specialist.

RESULT

Agents now review rather than research, answers are consistent across channels, and onboarding a new support hire no longer depends on one person's memory.

CASE 05 · LOGISTICS & FREIGHT

Supplier documents were retyped into the system by hand

Document AI ERP API Google Cloud n8n
minutes
PER DOCUMENT, FROM HOURS PER BATCH
fewer errors
FROM MANUAL KEYING
PROBLEM

Delivery notes and invoices arrived as PDFs and scans in a mailbox. Staff opened each one, typed reference numbers, quantities and totals into the operations system, and mismatches surfaced only at month-end reconciliation.

AUTOMATION

An intake workflow extracts fields from each document, validates them against open orders, writes matched records straight into the system and puts anything ambiguous into a short review queue with the original attached.

RESULT

Documents are processed as they arrive instead of in end-of-week batches, and discrepancies are caught at intake rather than during reconciliation.

CASE 06 · HOME SERVICES CONTRACTOR

Quotes went out fast, then follow-up depended on who remembered

CRM Email API n8n SMS
every quote
FOLLOWED UP AUTOMATICALLY
no chasing
ON THE OWNER'S TO-DO LIST
PROBLEM

Quotes were sent the same day, but the follow-up sequence lived in the owner's head. Busy weeks meant sent quotes were never chased, and there was no view of which jobs were still open.

AUTOMATION

When a quote is sent, a sequence starts: a reminder, a check-in, and a final message, each stopping the moment the client replies or the job is marked won or lost. Every touch is logged against the record.

RESULT

Follow-up now happens the same way in a busy week as a quiet one, and the pipeline shows exactly which quotes are still live without anyone maintaining a list.

CASE 07 · MARKETING AGENCY

Client reporting ate the first two days of every month

Ads APIs GA4 API Google Sheets n8n
first of month
REPORTS DELIVERED AUTOMATICALLY
2 days
RECLAIMED EACH MONTH
PROBLEM

Every account manager exported numbers from analytics and ad platforms, pasted them into a template, wrote commentary and emailed each client. Formats drifted, figures were occasionally stale, and the whole team lost the start of each month.

AUTOMATION

A scheduled workflow pulls each client's metrics into a standard report, fills the template, flags month-over-month movements worth commenting on, and delivers a draft to the account manager to review and send.

RESULT

Reports are ready before anyone opens a laptop on the first of the month, the numbers come from one pipeline, and account managers spend their time on the commentary instead of the copy-paste.

CASE 08 · MULTI-SYSTEM SME

The same customer existed three times in three systems

Azure n8n REST APIs Webhooks
near real-time
SYNC BETWEEN SYSTEMS
one record
PER CUSTOMER
PROBLEM

Customer details lived in the CRM, the invoicing tool and a support platform. An address change had to be made three times, and whichever system was missed became the one someone quoted from.

AUTOMATION

A synchronisation layer with a defined source of truth per field: changes propagate through webhooks, conflicts are logged rather than silently overwritten, and a nightly check reports records that drifted.

RESULT

Staff update details once, the other systems follow within moments, and the nightly report makes any remaining mismatch visible instead of surprising someone on a customer call.
